How to Share a Chat in VIDIZMO

Share a conversation you've had with an AI agent so others in your portal can read it, reply in it, or continue it on their own. You share through a single Share modal, using a portal-wide link, named invites, or both.

Prerequisites

  • You own the conversation you want to share. You share your own conversations from the chatbot.

Note: You can share only with users and groups in your portal. People outside your portal can't be invited and can't open a portal-wide link.

Open the Share modal

Open the Share modal from either place:

  • In the chatbot, select the caret next to the conversation title to open the options menu, then select Share.
  • In the sidebar, hover over the conversation on the My Conversations tab, select the options () menu, then select Share.

The modal opens with a recipient search field, a Share with anyone using a link option, and the list of people the conversation is already shared with.

  1. In the Share modal, select Share with anyone using a link.
  2. When the link appears in the list as Anyone with the link in your portal, select the copy icon next to it.
  3. Send the copied link to the people you want to give access.

Anyone in your portal who opens the link signs in and reads the conversation. A link grants read-only (Viewer) access.

Note: A link can't be re-enabled after you revoke it. If you revoke a link and need sharing again, generate a new one.

Invite specific users and groups

  1. In the Search by name or email field, find a user or group and select it. The recipient appears in the list with read-only access by default.
  2. Add more recipients the same way. Repeat for each person or group.
  3. Set each recipient's access level and permissions as described below.
  4. Select Save Changes.

When you save, VIDIZMO emails each new recipient a link to the conversation. Group invites email every member of the group.

Set the access level and permissions

  1. In the list, select the dropdown on a recipient's row and choose Viewer or Collaborator.

  2. To adjust permissions or set a time limit, select the options () menu on the row and select Edit.

  3. Read every message in this conversation is always on for any share and can't be turned off — it's the read access every recipient gets. For a Collaborator, turn on either or both reply permissions on top of it:

    i. Reply directly in this conversation (visible to everyone with access) — the recipient posts into the shared conversation.

    ii. Reply in their own private copy (original stays untouched) — the recipient can fork the conversation into a copy they own.

  4. Select Apply to return to the list, then select Save Changes.

Note: The two reply permissions are independent — turn on either, both, or neither. A Viewer has both reply permissions off, so the recipient keeps the always-on read access and nothing more.

Note: Link shares are always Viewer. The reply permissions apply to user and group invites only.

Set a validity window

By default a share never expires. To add a time limit:

  1. On the recipient's row, select the options () menu, then select Edit.

  2. Turn on Set validity window.

  3. Set Valid from, Valid until, or both:

    • Set Valid until to end access on a date.
    • Set Valid from to delay when access opens.
    • Clear either side for an open-ended window.
  4. Select Apply, then select Save Changes.

The recipient's invitation email shows the expiry date when you set one.
